Trackease ("we", "our", or "us") provides a service management and item tracking platform for businesses that take custody of customer items — such as laundry shops, electronics repair shops, tailors, and appliance repair services.
This Privacy Policy explains what information we collect, how we use it, who we share it with, and what rights you have. It applies to all users of the Trackease platform, including business owners, staff members, and the clients whose items are tracked through the platform.
By using Trackease, you agree to the practices described in this policy. If you do not agree, please discontinue use of the platform.
Information We Collect
Business Account Information
- Business name, address, and contact details
- Owner and staff names and email addresses
- Account credentials (passwords are hashed and never stored in plain text)
- Subscription and billing information (processed by our payment partners)
Client Information (entered by businesses)
- Client name, phone number, and contact details
- Item descriptions, categories, and condition notes at intake
- Photos and videos of items uploaded during the intake process
- Service history and item status updates
- Digital receipts and QR code data associated with tracked items
Usage Data
- Pages visited, actions taken, and features used within the platform
- Device type, browser, operating system, and IP address
- Session timestamps and activity logs
Communications
- Messages sent to our support team
- Emails and notifications sent through the platform
- Feedback or survey responses you voluntarily provide
How We Use Your Information
We use the information we collect to operate and improve the Trackease platform. Specifically, we use it to:
- Create and manage business accounts and workspaces
- Power the item intake, tracking, and status update features
- Generate and deliver digital receipts to clients via QR code or link
- Send transactional emails and status notifications
- Provide customer support and respond to inquiries
- Detect and prevent fraud, abuse, or unauthorized access
- Analyze usage patterns to improve product features and performance
- Comply with legal obligations
We do not sell your personal data to third parties, and we do not use client data entered by businesses for our own marketing purposes.
Photos, Videos, and Media Files
Trackease allows businesses to upload photos and videos of customer items as part of the intake process. This media serves as evidence of an item's condition at the time it was received.
Media files are stored securely using Cloudinary, a third-party cloud media service. Files are associated with specific items in the business's workspace and are accessible only to authorized users of that workspace.
Businesses are responsible for obtaining any necessary consent from their clients before capturing and uploading photos or videos of their items.
Client Item Tracking (Public Links)
Trackease generates shareable tracking links and QR codes that allow a business's clients to check the status of their items without needing a Trackease account.
These links are designed to be accessible only by the person who has the receipt or QR code. They do not expose other clients' data. However, anyone who possesses a valid tracking link can view the item status associated with that receipt.
Businesses are responsible for securely distributing tracking links and QR codes to the appropriate clients.
Data Retention
We retain business account and item data for as long as the account is active, and for a reasonable period afterwards to allow for account recovery or dispute resolution.
When a business account is deleted, we will delete or anonymize associated data within 90 days, except where we are required to retain it for legal or compliance purposes.
Media files (photos and videos) are deleted from our storage provider within 90 days of account deletion.
Security
We take reasonable technical and organizational measures to protect your data against unauthorized access, disclosure, alteration, or destruction. These include:
- Encrypted connections (HTTPS/TLS) across all platform surfaces
- Hashed and salted password storage — we never store plain-text passwords
- Role-based access control so staff members only see what they need
- JWT-based authentication with short-lived tokens
- Regular security reviews of our infrastructure and code
No system is completely secure. If you believe your account has been compromised, contact us immediately at privacy@trackease.com.ng.
Your Rights
Depending on your location, you may have rights regarding your personal data, including the right to:
- Access the personal data we hold about you
- Request correction of inaccurate or incomplete data
- Request deletion of your data (subject to legal retention requirements)
- Object to or restrict certain processing activities
- Request a portable copy of your data
- Withdraw consent where processing is based on consent

Children's Privacy
Trackease is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.
Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify registered business accounts via email and update the "Last Updated" date at the top of this page.
Continued use of Trackease after changes are posted constitutes your acceptance of the revised policy.
